What data we process

Contact form: name, company (optional), email, phone (optional), and message.
For contact form submissions, we may also process technical submission information such as IP address, browser/User-Agent information, submission time, and country code (if available).
Booking via Cal.com: information you provide in the booking flow, such as name, email, and booking details.
Technical operations and security: limited technical data such as IP address in connection with requests to our website.

Why we process your data

To respond to contact enquiries.
To manage bookings and carry out meetings.
To prevent spam, detect abuse, and investigate security-related incidents connected to form submissions.
To protect the website from abuse and maintain secure operation.

Legal basis

Legitimate interests: communication with potential and existing clients and secure website operation.
Contract or steps prior to contract: when you book a meeting or request concrete follow-up.

Service providers that may process personal data

Vercel (website hosting and operations).
Zoho Mail (email handling of contact enquiries).
Cal.com (booking flow and availability).
Google Calendar and Google Meet (where booking creates calendar events/online meetings via Cal.com).
Zoho Calendar (where calendar connections are used in Cal.com).

Processing outside the EU/EEA

Our providers may process personal data outside the EU/EEA depending on service setup and configuration. Where such transfers occur, relevant safeguards are used under provider data protection terms, such as EU Standard Contractual Clauses.

How long we keep data

We keep data for as long as needed to handle your enquiry or booking, follow up on client communication, and comply with applicable legal obligations. Data that is no longer needed is deleted or anonymized.

Future AI assistants and demos

This website does not itself implement live AI, telephony backends, conversation storage, or chat transcript storage. If future demo or assistant features are activated through a separate service, that service must provide accurate information about personal data processing, providers, any recordings, retention, and transfers before it is used live.

Requirements before activation

Before a live demo or production assistant is activated, Stoasys must update this policy and related information surfaces with the actual privacy details that apply to the external service. We do not publish speculative privacy claims in advance.
